Project implementation begins when the sponsor notifies the Office of Sponsored Programs and the project team that the proposal submitted will be awarded. Proposals submitted in collaboration with the Project Management Office (PMO) will receive the following project implementation support:
- Award Setup: During award setup, the PMO will work closely with the project team to execute on the governance plan defined in the proposal. Typical activities include defining award terms and conditions and account setup (WBS) to facilitate the team’s research, aiding in staffing the project, mapping contract requirements to project deliverables, and initiating team communications mechanisms.
- Award Negotiation: Frequently, during negotiation, a proposal is awarded at less than the full funding amount or for a truncated term. In this scenario the project manager will work with the project team to refine the statement of work, budget, timelines, and deliverables for team members and subcontracts to ensure prioritization and delivery of key project milestones and deliverables.
- Staff Resourcing: The PMO will initiate the staffing plan and begin the recruitment and selection process for the project.
- Select Project Management Tools: The PMO will aid in coordinating the set of processes, resources, and tools that will provide guidance and structure for the execution of the project. Such items may include:
- Setting up project-specific SharePoint site.
- Facilitating a workspace in a project management software program.
- Creating budget tracking templates.
- Reviewing system and security requirements and integrations.
